Winterizing a Coffee Cart: Protecting Your Water System From Freezing

Insulated tanks and heat-taped lines on a cart trading through winter. In Idaho this is a permit condition rather than a precaution.

Water expands when it freezes. That single fact is the whole problem, and it is why a cold night can cost you a pump rather than a morning.
Every component on a cart water system holds water somewhere: the pump head, the accumulator, the lines, the tanks, the machine boiler, the rinser. Any of them left with water in them below freezing can split, and you will not know until you switch on and find a leak.
There are two ways to handle a winter. Shut down properly, or run through it properly. Both work. Doing neither is what costs money.

What Freezes First, and What It Costs
Not everything on a cart is equally vulnerable.
Exposed Lines Freeze First
They hold the least water, they have the most surface area for their volume, and they are usually the least insulated. A line running outside a cabinet or under a chassis is the first casualty.
The Pump Is the Expensive Casualty
A pump head holds a small amount of water in a tight cavity. When that freezes and expands, it can crack the housing or damage the internals. A cracked pump head is not a repair.
The accumulator holds water too, and people forget it. It sits in the system as a pressure vessel and it does not drain simply by opening a tap.
Tanks Are More Forgiving but Not Immune
A large volume of water takes longer to freeze, which buys time rather than safety. A full tank left through a hard freeze can still split.
The Machine Is Its Own Problem
Boilers hold water and the manufacturer will have a procedure. Follow theirs rather than ours.
If You Are Shutting Down for the Season
The goal is simple: no standing water anywhere in the system.
Work in This Order
1. Empty the fresh tank and disconnect the pick up tube.
2. Run the pump until it draws air, then keep going briefly to clear the line downstream. This is the step that gets the water out of the pump head, which is the part you most want empty.
3. Open every outlet in turn with the pump off: machine connection, rinser, sink faucet. Let them drain.
4. Drain the accumulator. It will hold water after everything else looks empty.
5. Drain and empty the waste tank, and leave the cap off so it can dry rather than sitting damp.
6. Follow your machine manufacturer's shutdown procedure for the boiler.
7. Leave lines disconnected and open rather than sealed with a little water inside.
The residual water in the pump head is what people miss. A system can look empty at every tap and still hold enough in the pump to do damage. Running the pump dry briefly after it draws air is the difference.

If You Are Running Through Winter
Plenty of operators work through the cold, and some of the best trading days are the coldest ones. It takes preparation rather than luck.
Heat Tape the Lines and Tanks
This is the standard answer and in at least one state it is not optional. Idaho's mobile food unit requirements state that if you are operating in the winter, the lines and tanks must be heat taped. Your county may say the same, so it is worth asking rather than assuming it is a suggestion.
Store the Unit Somewhere Warm Overnight
This is the single most effective thing you can do and it is often the cheapest. A cart that lives in a heated garage or a commissary between services is not a freezing risk. A cart left outside is, every night, for months.
Insulate What You Cannot Heat
Cabinet doors closed, exposed runs lagged, tanks boxed in rather than sitting in open air.
Watch the Wind
An exposed line in moving air freezes considerably faster than the same line in still air at the same temperature. Wind is the variable people underestimate.
Drain between services if the unit is stored cold. If your cart sits outdoors and you are working intermittently, treat every gap as a small shutdown. It is tedious and it is cheaper than a pump.

What To Do If Something Has Already Frozen
Do Not Run the Pump
Forcing a frozen system is how a problem becomes a replacement. If water cannot move, the pump is working against a solid plug and can damage itself.
Thaw Slowly and From the Warm End
Move the unit somewhere heated and let it come up in its own time. Direct heat on a plastic fitting or a pump housing causes its own damage.
Inspect Before Restarting
Once thawed, look for splits at fittings, hairline cracks in the pump head, and bulging in lines. Run the system with the machine disconnected first and watch every joint before you trust it.
If Something Has Split, Replace It
A cracked housing or fitting that has been through a freeze is not something to patch and hope about mid-service.
